When stock is out or a customer deadline cannot move, air freight buys time. The trade-off is cost per kilo, so the practical skill is knowing exactly what is worth flying - and making sure the invoice matches what you were quoted.

Chargeable weight is where quotes and invoices diverge
Airlines charge on the greater of actual weight and volumetric weight, typically length x width x height (cm) divided by 6000. Light, bulky cargo is therefore charged on volume.
Confirm the divisor and the unit your forwarder uses before you commit. This single line explains most quote-versus-invoice gaps.
Express versus consolidated air
Express courier is door-to-door and simple, with premium pricing and weight limits. Consolidated air freight moves under a master air waybill and is cheaper per kilo at volume, at the cost of a longer, less hands-on transit.
Compliance that adds days
Battery shipments (UN38.3 summaries), liquids, powders and some electronics attract extra screening and paperwork. Filing these early is the difference between catching a flight and missing one.
Screening and security status, and the days they can add
Air cargo moves under security rules that differ from ocean freight entirely. Shipments either travel as known consignor cargo, screened by a regulated agent, or they are screened at the airport. Which route applies changes both the price and the schedule, and it depends on the shipper's status rather than on the forwarder's preference.
The practical consequence is that anything unusual in a consignment slows the process. Batteries, magnetic goods, powders, liquids and items that are ambiguous to describe all attract additional checks. Telling us what is in the box at the quoting stage, in plain language, is what stops a shipment sitting on a hold while somebody establishes whether it is allowed to fly.
Airport-to-airport, airport-to-door, and who does the clearing
Air freight is often quoted airport-to-airport, which is the cheapest headline and the least useful to anyone who actually needs the goods somewhere. Between the arrival airport and the consignee's address sit clearance, terminal release, and a road leg - and each of those can be handled by a different party unless someone owns the whole sequence.
There is also a difference in timing that only shows up after arrival. A consolidated shipment has to be broken down at the destination and cleared as separate house bills, which takes time after the aircraft is already on the ground. Building the clearance into the plan before departure, rather than treating it as a problem for the day of arrival, is where the recovery of a tight deadline usually happens.
Confirming a flight before you commit to it
Air capacity is allocated rather than published, so a schedule on a website is not a reservation. What matters before committing is whether space has actually been confirmed for that flight, what the cut-off for it is, and what the fallback is if the cargo does not make it. A shipment that misses a flight on a Friday evening has lost more than the weekend.
We would also want the destination-side requirements checked before booking, not after. Dangerous goods declarations, licences and permits that apply at the destination are easier to obtain while the cargo is still at the origin than while it is sitting in a bonded area accruing storage. The cheapest air freight is the shipment that moves on the first attempt.
| Option | Typical door-to-door | Best for |
|---|---|---|
| Express courier | ~3-6 days | small urgent parcels |
| Consolidated air | ~5-10 days | 100kg+ time-critical cargo |
| Air charter | case by case | oversize or full-planeload |
- Chargeable weight confirmed before booking
- Battery and DG paperwork checked early
- Airport-to-door or door-to-door
- Backup routing on the same day
